Hello everyone, and thank you for joining.
00:00:02
Today I want to talk about something we all do, and most of us do badly, meetings.
00:00:08
I will share five simple ideas you can try this week.
00:00:12
The first idea is to start every meeting with a question, not a topic.
00:00:16
A topic like budget review invites everyone to talk.
00:00:20
A question like, should we move 10% of the budget to hiring, invites a decision.
00:00:25
Write the question at the top of the invitation so people arrive ready to answer it.
00:00:30
00:00:30
Second, invite fewer people and give each person a role.
00:00:35
Someone decides, a few people contribute, and one person takes notes.
00:00:39
If you cannot name a role for someone, they probably do not need to be there.
00:00:44
You can always send them the notes afterwards.
00:00:47
Third, set a time limit for each part of the meeting.
00:00:50
Work expands to fill the time available, and meetings are no exception.
00:00:56
Try 25 minutes instead of an hour.
00:00:58
You will be surprised how often it is enough.
00:01:00
00:01:02
Fourth, before anyone leaves, write down what was decided.
00:01:06
For each decision, note who will do what and by when.
00:01:09
If you cannot fill in those three things, nothing was really decided.
00:01:14
Read the list aloud at the end so everyone hears the same version.
00:01:19
Finally, if the meeting was recorded, spend five minutes reviewing it the next morning.
00:01:24
Skim the transcript, check the slides, and look for anything you missed.
00:01:28
It is the cheapest way to catch misunderstandings before they grow.
00:01:30
00:01:33
So, to summarize, start with a question, keep roles clear, set a time limit, write decisions down, and review the recording.
00:01:41
Try just one of these in your next meeting.
00:01:44
Thank you for listening.
